SpeedWins Group, Inc. ("SpeedWins Group," "we," "us," or "our") respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit propertytalkai.com (the "Site") or otherwise interact with our services, including the PropertyTalk AI 24/7 AI resident-services voice assistant and its companion applications (collectively, the "Services").

Please read this Policy carefully. By using the Site or the Services, you acknowledge that you have read and understood this Policy. If you do not agree with our practices, please do not use the Site or the Services.

Scope of this Policy. This Policy covers personal information we collect from visitors to propertytalkai.com, prospective and current client communities and management companies, and individuals who contact us. It does not cover information processed by SpeedWins Group on behalf of our clients through deployed PropertyTalk AI voice assistants — that processing is governed by the underlying client agreements and applicable Data Processing Addenda (DPAs), where SpeedWins Group typically acts as a service provider or processor.

Information we collect

Information you provide directly

You may provide information when you fill out a contact form, request a consultation or demo, call our demo line, engage us as a client, or otherwise communicate with us. This may include:

  • Identifiers such as your full name, business email address, phone number, and mailing address.
  • Community information such as the community name, your role (board member, manager, or owner), company name, and number of doors.
  • Communication content, including the contents of messages, voicemails, demo requests, and any documents you choose to share.
  • Account or engagement information if you become a client, including billing contacts and onboarding details.

Information collected automatically

When you visit the Site, we and our service providers may automatically collect:

  • Device and connection data, including IP address, browser type and version, operating system, device identifiers, and approximate geographic location derived from IP.
  • Usage data, including pages viewed, links clicked, referring/exit URLs, time spent on pages, and date and time of access.
  • Cookies, pixels, and similar technologies (see Cookies and Tracking Technologies).

Information from third parties

We may receive information about you from:

  • Referral partners, industry partners, or mutual professional contacts who introduce you to us.

Information we do not knowingly collect

We do not knowingly collect personal information from children under the age of 16. The Site and Services are intended for business use by adults. If you believe we have inadvertently collected information from a child, please contact us so we can delete it.

How we use your information

We use the information we collect for the following business purposes:

  • To respond to inquiries: replying to contact form submissions, consultation requests, and questions about our Services.
  • To provide and improve our Services: scoping deployments, configuring PropertyTalk AI for your community, integrating with your community management platform, and supporting client implementations.
  • To operate the Site: monitoring performance, security, uptime, and analyzing usage trends to improve user experience.
  • To send communications: including service-related messages, scheduling confirmations, onboarding updates, and — where permitted — newsletters and marketing communications about content and offerings we believe may interest you. You may unsubscribe from marketing emails at any time.
  • To manage business operations: including invoicing, payment processing, contract management, recordkeeping, and audits.
  • To enforce agreements and comply with law: including responding to lawful requests, defending legal claims, and complying with regulatory obligations.
  • For security and fraud prevention: detecting, investigating, and preventing fraudulent, unauthorized, or illegal activity.
  • With your consent: for any other purpose disclosed at the time of collection or with your subsequent consent.

Legal Bases (for EEA/UK Visitors). Where the EU General Data Protection Regulation (GDPR) or UK GDPR applies, we rely on the following legal bases: (i) your consent (e.g., for marketing emails or non-essential cookies); (ii) the performance of a contract with you or your organization; (iii) compliance with a legal obligation; and (iv) our legitimate interests in operating, securing, and growing our business, where such interests are not overridden by your rights and freedoms.

AI tools, automated processing, and voice recordings

Because PropertyTalk AI is a voice AI service, transparency about our use of AI is important to us.

Use of AI on the Site. We may use AI-assisted tools to triage and respond to inbound inquiries, generate content, and improve our marketing and operations. Decisions that materially affect you (such as whether to engage your community as a client) are made by humans at SpeedWins Group, not by automated systems alone.

Demo calls. If you call our demo line or interact with a PropertyTalk AI demo, the call may be recorded and transcribed for the purpose of demonstrating capabilities, improving the assistant, and following up with you. Where required by law (including applicable two-party consent jurisdictions), you will be notified at the start of the call. By continuing the call after such notice, you consent to the recording. You may end the call at any time.

Resident data on behalf of clients. When SpeedWins Group deploys PropertyTalk AI for a client community, any personal information of the client's end-users (for example, residents of a homeowners association) is processed by SpeedWins Group solely on behalf of the client under the terms of the applicable client agreement and Data Processing Addendum. The client is the controller of that data; SpeedWins Group acts as a processor or service provider. Residents with questions about that processing should contact their community association or management company directly.

No Sale of Personal Information for AI Training. We do not sell your personal information, and we do not use information collected through the Site to train third-party generative AI models without your consent.

How we share information

We do not sell your personal information. We share personal information only as described below:

  • Service Providers and Vendors: with companies that perform services on our behalf, such as web hosting, email delivery, analytics, CRM, scheduling, payment processing, voice and telephony infrastructure (including Twilio), community management platform integrations, and professional advisors. These vendors are bound by contractual obligations to protect your information and use it only for the purposes we authorize.
  • Clients (Limited Cases): if you contact us through a Site feature that is operated jointly with a client (for example, a co-branded landing page), the client may also receive your information.
  • Business Transfers: in connection with any merger, acquisition, financing, reorganization, sale of assets, or similar transaction, in which case personal information may be transferred to the acquiring entity.
  • Legal and Safety: when required by law, subpoena, court order, or other legal process; to enforce our agreements; to protect the rights, property, or safety of SpeedWins Group, our clients, or others; or to investigate and prevent fraud, security incidents, or illegal activity.
  • With Your Consent: with any other party when you direct us or consent to the sharing.

SMS and Mobile Phone Numbers. SpeedWins Group, Inc. does not sell, rent, or share mobile phone numbers or SMS consent information with third parties or affiliates for marketing or promotional purposes. Mobile numbers collected for SMS are used only to send requested messages related to consultation inquiries, client agreements, reminders, onboarding, and account support.

Categories of Recipients. Common categories of recipients include: cloud hosting and infrastructure providers, email and marketing platforms, web analytics providers, CRM and pipeline tools, scheduling and meeting tools, voice and telephony platforms (including Twilio), payment processors, and professional service providers (legal, accounting, insurance).

How long we keep information

We retain personal information for as long as necessary to fulfill the purposes described in this Policy, including to provide the Services, comply with our legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. Specific retention periods depend on the type of information and the context in which it was collected. When we no longer have a legitimate business need to process your information, we will delete or anonymize it, or — if this is not possible (for example, because the information has been stored in backup archives) — we will securely store and isolate it from further processing until deletion is possible.

Cookies and tracking technologies

We and our service providers use cookies, pixels, web beacons, local storage, and similar technologies to operate the Site, remember your preferences, analyze traffic, and support marketing. We use the following categories:

  • Strictly Necessary: required for the Site to function (for example, security, load balancing, and basic site navigation). These cannot be turned off in our systems.

Information security

We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information against accidental or unlawful destruction, loss, alteration, unauthorized disclosure, or access. These include access controls, encryption in transit, vendor due diligence, and ongoing monitoring. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security. You are responsible for safeguarding any credentials you use to access our Services.

International data transfers

SpeedWins Group is based in the United States, and we and our service providers may process your personal information in the United States and other countries that may not provide the same level of data protection as your home jurisdiction. Where required, we use appropriate safeguards (such as the European Commission's Standard Contractual Clauses or comparable mechanisms) to protect your information when it is transferred internationally.

Your privacy rights

Depending on where you live, you may have certain rights regarding your personal information. We honor verifiable rights requests as required by applicable law.

Rights for U.S. state residents

Residents of New Jersey, California, and certain other U.S. states with comprehensive privacy laws may have the following rights, subject to legal exceptions:

  • Right to Know / Access: request confirmation that we process your personal information and request a copy of the information we hold about you.
  • Right to Correct: request correction of inaccurate personal information.
  • Right to Delete: request deletion of personal information we have collected from you.
  • Right to Opt Out of Sale or Sharing/Targeted Advertising: opt out of the "sale" of your personal information or its use for "targeted advertising" (as those terms are defined under state law). SpeedWins Group does not sell personal information; if our practices change, we will provide a clear opt-out mechanism.
  • Right to Limit Profiling: in certain states, opt out of profiling that produces legal or similarly significant effects. We do not engage in such profiling on the Site.
  • Right to Non-Discrimination: we will not discriminate against you for exercising any of these rights.
  • Right to Appeal: if we deny your request, you may appeal by contacting us using the details below. If your appeal is denied, you may contact your state attorney general.

New Jersey Residents. The New Jersey Data Privacy Act (NJDPA), which became enforceable on January 15, 2025, provides New Jersey residents with the rights listed above. To submit a request, use the contact details in the Contact section below or any rights request process posted on the Site.

California Residents (CCPA/CPRA). In addition to the rights above, California residents may request information about the categories of personal information we collected, the categories of sources, the business or commercial purposes for collection, and the categories of third parties to whom we disclosed information. You may designate an authorized agent to make a request on your behalf, subject to verification.

Rights for EEA, UK, and Swiss residents

If the GDPR or UK GDPR applies to you, you have the right to: (i) access your personal information; (ii) request correction of inaccurate information; (iii) request erasure; (iv) request restriction of processing; (v) object to processing based on legitimate interests or for direct marketing; (vi) data portability; and (vii) withdraw consent at any time where processing is based on consent (without affecting the lawfulness of prior processing). We will verify your request by, for example, asking you to confirm information we already have on file. We will respond within the timeframe required by applicable law (typically 45 days for U.S. state laws, with a possible extension; 30 days under GDPR/UK GDPR, with a possible extension).

Third-party links and services

The Site may contain links to third-party websites, applications, or services (including scheduling tools and client portals) that are not operated by SpeedWins Group. We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies before providing them with personal information.

Children's privacy

The Site and Services are intended for adults engaged in business activities. We do not knowingly collect personal information from children under 16. If you are a parent or guardian and believe your child has provided us with personal information, please contact us so we can delete it.

Changes to this privacy policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors. When we do, we will revise the "Last Updated" date at the top of this Policy. If the changes are material, we will provide a more prominent notice (for example, by posting a banner on the Site or sending an email to subscribers).
